Technical Alerts & Best Practices
Browser & Network Considerations
⇒ Web Browser (Guest Joining):
For best results, use a supported Chromium-based browser, such as Google Chrome. Safari is not recommended for Guests at this time.
⇒ Streaming over WiFi:
Streaming over WiFi may result in degraded performance due to network variability. A hardwired Ethernet connection is strongly recommended.
VPN / Corporate Network Notice
⇒ Users on a VPN, proxy, or corporate firewall may experience issues with:
- Password resets
- New account activation
- MFA email verification codes (delivery or access delays)
This is due to network restrictions, not the platform. Complete these actions outside the VPN if possible (e.g., use a mobile device on cellular or disconnect temporarily). More info: Remoto Playback Networking Guide.
Multi-Factor Authentication (MFA)
⇒ MFA is verified once per signed-in session:
After you successfully complete an MFA challenge (at sign-in or when accessing a protected Team or session), Remoto does not ask again until you sign out or your application session expires.
⇒ Strongest policy wins:
When Personal, Team, Session, and Participant security settings differ, Remoto enforces the strongest applicable requirement. A lower-level setting cannot weaken a higher Team or account policy.
⇒ Backup codes are one-time use:
Store backup codes in a secure location when you generate them. Each code can be used only once. Generate a new set if you lose access to your authenticator app or email codes.
⇒ Protected Teams and sessions may be hidden until MFA is complete:
If a Team or session requires MFA and you have not completed MFA in the current signed-in session, Remoto may hide those items until you pass the challenge (for example, after selecting the Team or opening a protected session).
Fixed-Price Rooms
⇒ Rooms are persistent, not one-time sessions:
Fixed-Price Rooms appear as standing rows on the Playback Dashboard (Standby vs In Use). They do not require calendar scheduling and do not consume one-time session credits from your Team Account.
⇒ Standby vs In Use:
A Room in Standby is available for an authorized Organizer to enter as host. When a session is active, the Room shows In Use. The same Room and join link can be reused over time.
⇒ Supplement with on-demand sessions:
Teams can use Fixed-Price Rooms for ongoing review workflows and still purchase or schedule additional on-demand sessions when needed.
⇒ Guest admission:
Guests invited to a Room are held in the wait path until the Organizer admits them, consistent with other protected session flows.
⇒ Stream settings respect Room limits:
Rooms enforce configured stream limits (for example, frame rate and encoding caps). Settings that exceed Room limits cannot be saved.
Application Behavior & UI Constraints
⇒ Stream Settings While Streaming:
Stream Settings cannot be modified while a stream is active. To make changes, stop the stream, update settings, save, and then restart the stream.
⇒ Playback Application Left Open:
If Playback is left open for an extended period (for example, overnight or over a weekend), the app may become unresponsive. If this occurs, quit and reopen the application.
⇒ Signing In on Multiple Devices:
If your account is already signed in on another device, Remoto presents an Already Signed In Elsewhere dialog when you sign in. You can choose Force Sign Out on Other Device to take over full access on this device, or continue in Scheduling mode to manage upcoming sessions while your other sign-in keeps running. Remoto 1.11 improves false "signed in elsewhere" prompts caused by stale or self-conflicting auth sessions.
⇒ Scheduling mode:
The limited-access role previously labeled "Scheduler mode" is now called Scheduling mode throughout the app. A persistent indicator shows when you are in Scheduling mode. Most Profile controls remain available; Change Password and MFA controls are visible but disabled with explanatory tooltips.
⇒ Minimum Application Window Size:
Playback Desktop has a minimum supported window size of 1600×900 pixels and is not responsive to a smaller size. If the app does not fit on your screen, adjust your display resolution in System Settings.
To adjust screen resolution:
- mac: Click the Apple menu > System Settings > Displays. Select your monitor and choose a scaled size from the thumbnail presets. For a precise list of dimensions, turn on "Show all resolutions" and then choose a resolution for that screen that is greater than 1600x900 pixels.
- Windows 10: Right-click an empty space on your desktop and select Display settings. Scroll down to the Display resolution section and click the drop-down menu to select your desired resolution.
- Windows 11: Right-click an empty space on your desktop, select Display settings, and scroll to the Scale & layout section. Next to Display resolution, select your preferred dimensions from the drop-down menu and click Keep changes to confirm.
⇒ Windows SmartScreen Warning (First-Time Installation): When installing Remoto Playback on Windows for the first time, Windows SmartScreen may display an "Unknown Publisher" warning. This is expected for new application certificates and does not indicate a security issue. Click More info, then Run anyway to proceed with installation. This warning will not appear on subsequent installs once the certificate builds reputation. (REMT-10730)
Audio Monitoring & Playback
⇒ Bluetooth Headphones:
Using Bluetooth headphones introduces inherent audio latency. This can be adjusted during a live stream using the A/V Sync controls.
Capture & Hardware Configuration
⇒ Capture Method Frame Rate Behavior on macOS:
On macOS, Screen Capture and Application Capture are subject to OS-level frame rate control. The effective frame rate may be variable, regardless of the frame rate selected in Playback settings.
For critical workflows, use Blackmagic or an NDI plug-in with constant bitrate support, as these methods bypass OS-level constraints by directly ingesting the source signal.
For non-critical workflows, where a small tolerance (approximately 5 percent) is acceptable, Screen Capture and Application Capture are suitable options.
⇒ Remoto Capture Agent and Fixed-Price Rooms:
When streaming to a Room via Remoto Capture Agent, the agent respects Room stream limits in its UI. Protocol selection follows the backend stream connection info provided for the session.

New Features v1.11.0
Fixed-Price Rooms
Remoto Playback 1.11 introduces Fixed-Price Rooms — unlimited use of a dedicated Room for Team Accounts, with the option to supplement as needed with on-demand sessions. From $650 per month, no contract required.

What changes for Teams:
- Persistent Dashboard rows — Rooms appear on the Playback Dashboard as standing entries showing Standby or In Use, separate from scheduled one-time sessions.
- No calendar scheduling required — Authorized Organizers can enter a Standby Room as host and start review without booking a session slot in advance.
- No session-credit consumption — Room usage does not deduct one-time session credits from your Team Account.
- Reusable join link — Each Room retains a lasting invitation link Organizers and Guests can reuse across sessions.
- Join-wins host assignment — The first authorized Organizer to join an available Room becomes host; other authorized Organizers can reclaim host when needed.
- Room-aware streaming — Stream Settings, Remoto Capture Agent, and backend services enforce Room-specific limits and lifecycle rules (including grace-period auto-close when the Organizer disconnects).
Fixed-Price Rooms are designed for studios and post teams that need a always-available review space without repeatedly scheduling and provisioning one-time sessions.
Buy Session button on Dashboard: Users who do not see New Session (for example, Guests or accounts without an active subscription) now see a Buy Session button in the same location, linking directly to the Remoto Store. (REMT-9736)
Scheduling Mode Improvements
Playback 1.11 refines the limited-access sign-in path introduced in earlier releases:
- Renamed to Scheduling mode — All user-visible copy now says "Scheduling mode" instead of "Scheduler mode."
- Persistent indicator — A banner or badge shows when the app is in Scheduling mode across Dashboard, Session Overview, Guest List, and User Profile.
- Clearer Profile behavior — Change Password and MFA controls remain visible but disabled, with tooltips explaining the restriction.
- Context-aware Dashboard tooltips — Disabled Start and Join Session buttons show tooltips that reflect whether a session is live on another device or Scheduling mode is the limiting factor. (REMT-10896)
Improved "Already Signed In Elsewhere" Experience
When signing in while another active session exists, Remoto now presents clearer Select Role and Confirm Takeover dialogs:
- Session cards identify the other session by name, start time, and Organizer.
- Copy distinguishes Organizer (host) vs Guest session roles and explains stream consequences before force sign-out.
- Terminology is aligned to Sign out / Scheduling mode across Desktop, web, and mobile clients.
These updates complement backend fixes that eliminate spurious duplicate-device challenges during email-link handoffs and reduce stale auth sessions lingering after a client closes. (REMT-10905, REMT-10908, REMT-10921, REMT-10922, REMT-10923)
Bug Fixes & General Enhancements
Included in 1.11.0
General
Windows Studio missing pre-stream gradient background: On some Windows Organizer machines, the Studio pre-stream gradient background failed to play (often when the system audio device was unavailable). The gradient asset no longer depends on an audio track, so the background renders reliably. (REMT-11029)
Updated Terms and Conditions: In-app Terms and Conditions now point to the current Terms of Service document. (REMT-9419)
Select Role & Confirm Takeover dialog copy: Desktop dialog copy for Select Role and Confirm Takeover is updated (Force Sign Out on Other Device terminology, Organizer vs Guest variants, Scheduling mode wording). (REMT-10907)

Authentication & Sign-In
False "signed in on another device" during email-link handoff: Redeeming a login secret from an invitation email (Join via Web / Join via App) could flag the user's own prior session as another device. Handoff no longer triggers a spurious duplicate-session challenge. (REMT-10921)
Stale auth sessions lingered up to 24 hours after client exit: Closing a browser tab, force-quitting, or crashing could leave an auth session counted as active for up to 24 hours, causing repeated false duplicate-device prompts. Idle and abandoned sessions are cleaned up sooner. (REMT-10922)
Passwordless Join & Email
Passwordless guest shown password-reset screen on join: New passwordless Guests opening a session invitation could incorrectly land on a password-reset / Check Email flow. Passwordless join now proceeds directly. (REMT-10914)
Passwordless join intermittently dead-ended on password-reset screen: Some passwordless invitation links fell back to temporary-password login and blocked entry. Join now consistently honors the passwordless policy. (REMT-10943)
Session start invalidated invitation links: Starting a session regenerated the Guest temporary password and broke outstanding invitation links. Invitation links remain valid after session start. (REMT-10945)
Email link scanners triggered activation loop: Microsoft Safe Links and similar scanners prefetching invitation URLs could trigger repeated activation emails. Scanner prefetch no longer sustains an activation loop. (REMT-10991)
General (Windows and macOS)
Crash when Guest clicked Leave Session (Windows): On Windows 11, clicking Leave Session in Studio could crash Playback Desktop consistently. Leave Session now completes without crashing. (REMT-10985)
Guest crashed when Organizer ended session: Guests could crash when the Organizer ended the session. End Session no longer crashes Guest clients. (REMT-11013)
Guest on Windows saw black camera previews for other participants: Windows Guests could see black frames for other participants' cameras until those participants toggled camera off/on. Camera previews now render correctly for Windows Guests. (REMT-10234)
Windows TRP Guest saw black camera previews: Browser Guests on Windows could see black camera tiles until the remote participant toggled their camera. Previews now initialize correctly. (REMT-10975)
Black screen / no stream on legacy Windows GPUs: Systems with GPUs lacking D3D11 support (for example, pre-2011 AMD hardware) could show a black stream. Playback now handles these configurations more reliably. (REMT-10589)
On-screen annotation position mismatched across screen sizes: Annotations drawn by the Organizer could appear at the wrong position or scale for Guests on differently sized displays. Annotation coordinates now align across Desktop participants. (REMT-10199)
Streaming & Capture
No warning when audio or video source lost: When a streaming or configured source became unavailable, the Organizer received no recovery dialog or proactive banner. Studio now shows a blocking recovery modal while streaming and a warning banner with disabled Start Stream while stopped, with Restore and Change Source actions. (REMT-9036)
Capture Agent listed as its own video input: RCA could appear as a selectable video input on the Capture Agent machine itself. The self-referential input is no longer offered. (REMT-9959)
Advanced Encoding Settings locked during live session (beyond Video Bit Rate): Video Bit Rate was unlocked in Playback 1.10.2 when the stream was stopped. Other Advanced Encoding Settings (codec, profile, bitrate mode, chroma subsampling, and related options) remained locked for the duration of a live session. Organizers can now update those remaining settings during an active session when the stream is stopped, with appropriate confirmation when changes clear dependent settings. (REMT-10976)
4:2:2 Blackmagic video with H.264 codec: 4:2:2 Blackmagic sources could fail when H.264 was selected. H.264 encoding now works with 4:2:2 Blackmagic input. (REMT-10962)
Known Issues
Playback for Windows
Critical
Application becomes unresponsive when starting a stream on Windows 10: On Windows 10, clicking Start Streaming causes the application to freeze and enter a "Not Responding" state. The app never recovers and must be force-closed via Task Manager. This issue is 100 percent reproducible. Workaround: None at this time. Force-close the application via Task Manager and relaunch. (REMT-10156)
Application becomes unresponsive on Windows during an active session: While connected as a Guest on Windows, the application may become completely unresponsive after sustained interaction with the session UI. This affects both Windows 10 and Windows 11, with Windows 11 hanging more quickly. Once unresponsive, the app does not recover. Workaround: Force-close and relaunch the application. (REMT-10239)
Crash when selecting Guest Sessions Only filter on Dashboard (Windows 11): On Windows 11, selecting Guest Sessions Only from the Dashboard session view dropdown crashes Playback Desktop immediately. Workaround: None at this time. Use All Sessions or My Sessions views instead. (REMT-11050)
Non-Critical
Camera preview remains blank in Preferences after selecting a camera device (Windows only): On Playback Desktop for Windows, selecting a camera device in Preferences may not display a live preview. The camera tile remains blank despite the device being selected. Camera functionality during sessions is unaffected. Workaround: None at this time. (REMT-10365)
Playback for macOS
Critical
Passwordless session email links sign out logged-in users: When a user is already signed in to the Playback Desktop app and clicks an email link to join a Passwordless session, the app silently signs the user out and does not join the session. No error or message is shown. Workaround: Fully quit the app or sign out before clicking the session invite link. (REMT-7860)
Audio gaps in the Playback stream on Apple silicon (Ventura / Sequoia): On some Apple silicon Macs running macOS Ventura or Sequoia, the audio stream may contain noticeable gaps approximately every 2–3 seconds for both Organizer and Guest. Workaround: None at this time. (REMT-7222)
Crash when switching video input from Blackmagic to NDI during an active session (Intel Organizer): On some Intel Mac Organizer machines, changing Video Input from Blackmagic to NDI and reviewing Stream Preview during an active session can crash Playback Desktop. Workaround: Avoid switching from Blackmagic to NDI mid-session when possible; stop the session before changing input type if a switch is required. (REMT-10212)
Non-Critical
Participant List shows incorrect Stream Audio status for Guests: When a Guest disables Stream Audio, the Organizer's Participants tab may still show Stream Audio as enabled for that Guest. This is a display issue only and does not reflect the Guest's actual setting. Workaround: None at this time. (REMT-8052)
Guest camera shows no video after enabling it in Studio when "Start with Camera On" was set to off: If a Guest joins a session with Start with Camera On set to OFF and then turns on their camera from the Studio screen, the camera tile remains in a placeholder state with no live video displayed. This affects both the Guest and Organizer views. Workaround: Switch to a different camera in the camera selector and then switch back. The camera will then render correctly. (REMT-10314)
Stream Preview does not update after changing video source in a Started session: After a session is Started, changing the Streaming Video Source in Stream Settings may not update Stream Preview — the preview can continue showing the previously selected source even after Save. Preview updates correctly while the session is still in Ready state. Workaround: None at this time. (REMT-9169)
Video Conference / Screen Share
Non-Critical
Webcam and screen share cannot be active at the same time: When a participant starts screen sharing, their webcam tile may drop to initials for other participants. Camera and screen share currently share a single publish path, so both cannot display live at once. Workaround: None at this time. (REMT-10400)
Pending guest's camera tile may show another guest's screen share: If two guests request screen share at the same time and the Organizer approves only the first, the pending guest's camera tile may incorrectly display the active screen share instead of their webcam (observed on Desktop and web). Workaround: Have the affected participant stop sharing and re-request screen share individually. (REMT-10870)
Web Joining
Non-Critical
On-screen annotations appear in the wrong position for web guests: Annotations drawn during a session may not land in the same place for the Organizer and guests who join via the web. Marks drawn by the Organizer can appear offset for web guests, and marks drawn by a web guest can appear offset for the Organizer. Workaround: None at this time. (REMT-10253)
Web guest may see the sharer's camera instead of the shared screen: In rare cases (hard to reproduce; observed after a failed first screen-share attempt), a browser guest may see the Desktop sharer's camera preview in place of the shared screen. Workaround: None confirmed; try refreshing or rejoining the session. (REMT-10399)
